Businesses and organizations communicate with employees via internal correspondence. Also referred to as organizational writing, internal correspondence is any type of writing meant to circulate exclusively within a company. The circulated information is often sensitive, and not meant for the public. Memos are a common form of internal correspondence, used to communicate information within a department, division, or a company to announce procedures, explain changes, or to persuade co-workers to adopt a position or a point of view.
Scenario: Cannabis Can-Do…or Not?
a city council member for a large village, Tweed, of approximately 60,000 people. The village is in Illinois and its governance system is comprised of seven council members and one mayor. All members of the council and the mayor are elected to their positions.
A cannabis dispensary, “Pot Topic,” which has several storefronts open in Illinois (where marijuana is legal) has approached Tweed about opening a dispensary in the village. Pot Topic has two sites in mind. The first site is on Main Street, within Tweed’s business district— which has a “big small-town feel.” The second site is within city limits, but is located on Flatway Boulevard, a busy street on the outskirts of town, that is home to fast food chain restaurants, car dealerships, and a supermarket, and Tweed High School.
The village is considering whether to allow a) one cannabis dispensary within its boundaries; b) two cannabis dispensaries; or c) no cannabis dispensaries. The debate is heated: council members get frequent calls, emails, and visits from village constituents who are eager to persuade council members to approve or disapprove the dispensary/dispensaries. To complicate matters further, the city council and the mayor must decide whether the dispensary(ies), if approved, should be limited to medical marijuana, recreational marijuana, or both.
As a council member, twee a memo to your peers, summarizing the situation, stating argument, and supporting your position by offering your opinion on the following options: No dispensary within village boundaries; medical-only dispensary(ies) in town; medical and recreational dispensary(ies) or recreational-only, in either location.
